Voice Recording Notice — FiveBot

This page explains what happens when a community that uses FiveBot records a voice conversation, and what your choices are. It is written for the person being recorded — a player, a member, or a member of staff — not for lawyers.

The short version. Some Discord servers mark a small number of voice channels as administrative — the rooms where staff talk to a member about a ban, a report, an appeal or a complaint. In those rooms, and only in those rooms, a bot named on the server joins, renames itself to a visible ● REC marker, and posts a notice saying the conversation is being recorded. The recording is transcribed to text. If you do not want to be recorded, leave the channel.

1. Consent — how it works, in plain words

Recording starts when the notice is posted. By staying in the channel after the notice, you are consenting to being recorded and transcribed as described on this page. If you do not agree, you have two ways out and both work:

  • Leave the voice channel. Nothing further is captured from you, and the conversation can continue in text instead.
  • Press "Do not record me" on the notice. Your microphone is dropped from the recording immediately, for the rest of that conversation. Everyone else in the room is still recorded, because their consent is theirs to give.

Nobody is recorded without the notice being posted first. If the bot cannot post the notice — because it lacks permission to speak in the channel, or Discord is unavailable — it does not record at all; it leaves, and the only thing kept is the fact that an un-recorded conversation happened.

If you walk into a conversation that is already being recorded, the notice is posted again, for you, before your voice is captured.

2. Why it is done this way

Waiting for every person to press a button before anyone could be recorded had a predictable failure: the conversations most worth having a record of — an appeal, a complaint about a member of staff, a heated ban review — are exactly the ones where somebody does not press it, and the recording that would have protected both sides never exists.

Notice before recording, with a real and immediate way to opt out, is the standard practice for recorded support and administrative conversations in the United States, and it is the mechanism this product now uses. It is not a way of recording people who said no; it is a way of not making the record depend on a button press at the worst possible moment.

3. What is recorded, and what is kept

Where a community has switched the audio-evidence option on, the recording is deleted at the earlier of: the community's own evidence-retention window counted from the moment someone closes the review it belongs to, and 180 days from the recording, unconditionally.

4. What the AI does with it

Two things, both of which are about the quality of the help you were given:

  • It writes the transcript and the summary — the conversation as text, and a short plain-language account of what was decided.
  • It reviews how the conversation was handled, against a written standard the community's owner wrote themselves, if they have switched that on. This is a review of the staff member's conduct — whether they explained the rule, whether they let you give your side, whether the tone stayed civil.

No decision about you is made automatically. The AI never bans, kicks, warns, or sanctions anyone, and it has no ability to. Everything it produces is shown to a person, who decides. A recorded conversation is not used to train any AI model.

5. Who is responsible

The community that runs the Discord server decides whether to record at all, which channels are marked, whether audio is kept, and who on their team can read a transcript. They are the controller of that recording. FiveBot (SDN Ventures LLC, Wyoming, USA) operates the software on their behalf as a processor, under the DPA.

That means: ask the community's owner or staff first. We support them, and the in-product tools below work regardless.

6. Your rights, and how to use them

  • Get your own copy. Run /gdpr export in the Discord server. It works on every plan, and it returns everything held about you, transcripts included.
  • Ask for erasure. Run /gdpr delete, or ask the community's owner. What you said is removed; the fact that a conversation happened, and its outcome, is kept — the community has a legitimate interest in knowing an appeal took place. Your identity in that record becomes a stable pseudonym.
  • Object, or ask a question. Contact the community's owner first, or us at the address in the Privacy Policy.

If you are a resident of California, Colorado, Connecticut, Virginia or another state with a comprehensive privacy law, the Privacy Policy sets out the specific rights available to you and how to exercise them. Nothing on this page limits them.

7. Age

Discord requires its users to be 13 or older, and higher in some countries. A community aimed at children should not record voice conversations at all. If you are below the age at which you can consent for yourself where you live, do not stay in a channel where the recording notice has been posted — leave, and ask for the conversation to happen in text.

8. Changes to this notice

Material changes are announced 14 days in advance in the dashboard, and the version above changes. The notice posted in the channel always links to the version in force at the time you were recorded.
